A demanda chegou na terça, já no fim do expediente. A chefia pediu que Rafael redigisse a proposta comercial de um cliente em potencial. O setor inteiro tinha ido embora e a diretoria queria o orçamento na quarta. Ele abriu um rascunho em branco e digitou o assunto do e-mail. Nunca tinha escrito nada oficial em português. O cliente tinha aparecido por causa de um anúncio que a empresa publicou no Diário Oficial. — Ali tudo é escrito em juridiquês — avisou Wagner. — Ninguém fala assim em casa, graças a Deus. — Você vai ter que aprender a escrever como se fosse outra pessoa.

The job came in on Tuesday, right at the end of the working day. The management asked Rafael to draft the commercial proposal for a prospective client. The whole department had already left and the board wanted the quote by Wednesday. He opened a blank draft and typed the subject line. He had never written anything official in Portuguese. The client had turned up because of a notice the company had published in the official gazette. — Everything there is written in legalese — Wagner warned. — Nobody talks like that at home, thank God. — You're going to have to learn to write as if you were somebody else.

A primeira versão saiu exatamente do jeito que ele falava. “Oi! Segue o orçamento aí. Qualquer coisa me chama.” — Isso parece mensagem de aplicativo — disse Wagner, lendo por cima do ombro. — Mas é simpático — respondeu Rafael. — É íntimo demais, e quem escreve assim aqui está com pressa ou com raiva. — No papel a gente fica empolado de propósito — explicou ele. — Formalidade é distância medida em palavras. Rafael achou tudo aquilo rebuscado demais, mas anotou mesmo assim.

The first version came out exactly the way he spoke. “Hi! Here's the quote. Anything you need, give me a shout.” — That looks like a text message — said Wagner, reading over his shoulder. — But it's friendly — Rafael answered. — It's far too familiar, and someone who writes like that here is either in a hurry or angry. — On paper we go deliberately pompous — he explained. — Formality is distance measured in words. Rafael found all of it far too ornate, but he took notes anyway.

Wagner puxou a cadeira e começou a ditar a saudação, palavra por palavra. “Prezado Senhor Almeida, venho por meio desta solicitar a análise da proposta.” “Segue em anexo o orçamento detalhado, aos cuidados do setor financeiro.” — Agora a despedida formal — disse ele. — Fico à disposição para esclarecimentos. — E fecha com Atenciosamente, nunca com um abraço. A solicitação virou uma parede de cerimônia. — Quando você não sabe quem vai ler, escreve “A quem possa interessar” e segue a vida — completou Wagner. — E, se quiser fechar bonito, termina com “Sem mais para o momento”, que é o jeito educado de dizer acabou.

Wagner pulled up a chair and started dictating the greeting, word by word. “Dear Mr Almeida, I hereby write to request your review of the proposal.” “Please find attached the detailed quote, for the attention of the finance department.” — Now the formal sign-off — he said. — I remain available for any clarifications. — And close with Yours sincerely, never with a hug. The request turned into a wall of ceremony. — When you don't know who's going to read it, you write “To whom it may concern” and get on with your life — Wagner added. — And if you want to close it nicely, you finish with “Nothing further at this time”, which is the polite way of saying that's it.

Ele conferiu o remetente, pôs a chefia em cópia oculta e clicou em enviar. Dois minutos depois veio o frio na barriga: tinha esquecido de anexar o arquivo. Wagner riu tanto que derrubou café na pauta da reunião de alinhamento. — Escreve outro — disse ele. — E não pede desculpa como criança. “Peço a gentileza de desconsiderar a mensagem anterior; encaminho agora o documento correto.” “Solicita-se a confirmação do recebimento. Agradeço desde já a atenção.” — Isso, no mundo do papel, chama-se errata — disse Wagner, ainda rindo. — Todo mundo já mandou uma. Ele mandou Rafael reiterar o pedido sem se humilhar e sem explicar demais. — Peça a confirmação em tempo hábil e pare de escrever — disse ele. — Texto comprido é pedido de perdão disfarçado.

He checked the sender, put his boss in blind copy and clicked send. Two minutes later came the sinking feeling: he had forgotten to attach the file. Wagner laughed so hard that he spilled coffee on the agenda for the alignment meeting. — Write another one — he said. — And don't apologise like a child. “Kindly disregard the previous message; I am now forwarding the correct document.” “Confirmation of receipt is requested. Thank you in advance for your attention.” — That, in the world of paper, is called an erratum — said Wagner, still laughing. — Everyone has sent one. He told Rafael to reiterate the request without grovelling and without over-explaining. — Ask for confirmation in good time and stop writing — he said. — A long message is an apology in disguise.

A resposta chegou na manhã seguinte, curta e cheia de cerimônia. “Prezado Rafael, acuso o recebimento. Cordialmente.” Não veio reclamação formal nem parecer ruim: a proposta foi encaminhada ao financeiro. À noite, Marina leu tudo e riu do cargo que ele inventou no cabeçalho. — Por que tanta volta para dizer uma coisa simples? — perguntou ele. — Porque a volta é o cuidado — disse ela. — Com quem a gente ama, vai direto; com quem a gente respeita, dá a volta.

The reply arrived the next morning, short and full of ceremony. “Dear Rafael, I acknowledge receipt. Kind regards.” No formal complaint came, and no bad verdict: the proposal had been forwarded to finance. That night, Marina read the whole thing and laughed at the job title he had invented in the letterhead. — Why so much going around in circles to say something simple? — he asked. — Because the going around is the care — she said. — With the people we love, you go straight there; with the people we respect, you take the long way.

Na semana seguinte, o cliente aceitou a proposta e mandou o contrato para leitura. Chegou impresso em papel timbrado, com o logotipo em relevo e nove páginas de juridiquês. O teor mudava completamente da terceira página em diante. — O que importa nunca está no começo — disse Wagner, apontando o parágrafo quinze com a caneta. Havia um artigo de rescisão que permitia ao cliente sair do acordo em trinta dias. Pior: o contrato passaria a vigorar na data da assinatura, e não na data da primeira entrega. Rafael pediu para prorrogar a assinatura por três dias e escreveu um ofício curto explicando o motivo. Faltava ainda um adendo sobre manutenção, que o cliente prometeu enviar até sexta. Para a surpresa dele, o jurídico do cliente acatou o pedido sem discutir uma linha.

The following week, the client accepted the proposal and sent over the contract to be read. It arrived printed on headed paper, with an embossed logo and nine pages of legalese. The content changed completely from the third page onwards. — What matters is never at the beginning — said Wagner, pointing at paragraph fifteen with his pen. There was a termination article that let the client walk away from the deal in thirty days. Worse: the contract would come into force on the date of signature, not on the date of the first delivery. Rafael asked to extend the signing by three days and wrote a short official letter explaining why. There was still an addendum about maintenance missing, which the client promised to send by Friday. To his surprise, the client's legal department accepted the request without arguing over a single line.

O jurídico respondeu, porém, num tom ríspido que Rafael levou para o lado pessoal. — Não é com você — disse Wagner. — Advogado escreve impessoal; é quase uma questão de higiene. — E aquele “Vossa Senhoria” no meio do texto? Isso ainda existe? — perguntou Rafael. — Existe, e é o pronome de tratamento mais seguro quando o interlocutor é um desconhecido de gravata. Wagner explicou que cada área tem o seu jargão e que a gente entra nele como quem entra em piscina fria. — Quando a notícia é ruim, você dá uma volta: “houve um contratempo” em vez de “deu tudo errado”. — E evita o gerundismo, aquele “vou estar enviando” que dá dor de dente em qualquer brasileiro. — Seja sucinto — completou. — Frase curta parece confiança; frase comprida parece desculpa.

The legal department replied, though, in a curt tone that Rafael took personally. — It's not about you — said Wagner. — Lawyers write impersonally; it's almost a matter of hygiene. — And that “Your Lordship” in the middle of the text? Does that still exist? — Rafael asked. — It does, and it's the safest form of address when the person you're writing to is a stranger in a tie. Wagner explained that every field has its own jargon and that you get into it the way you get into a cold pool. — When the news is bad, you take the long way round: “there was a setback” instead of “it all went wrong”. — And steer clear of the gerund habit, that “I'll be sending it over” which gives any Brazilian toothache. — Be concise — he added. — A short sentence looks like confidence; a long one looks like an excuse.

Rafael reescreveu a resposta três vezes, tentando cobrar sem soar covarde nem agressivo. A redação final tinha seis linhas e nenhuma palavra que ele não entendesse. Ele endereçou a mensagem ao setor jurídico e mandou uma cópia ao próprio senhor Almeida. “Reitero o pedido de ajuste no prazo e permaneço à disposição para dirimir qualquer dúvida.” “Agradeço a atenção e aguardo o retorno em tempo hábil. Sem mais para o momento.” A resposta veio em quatro minutos: “Recebido. Doravante, tratar diretamente comigo. Abraço.” Wagner leu por cima do ombro e disse que aquele abraço no fim valia mais que a proposta inteira. — Ele passou de Prezado Senhor a abraço em nove dias — explicou. — Aqui dentro, isso é promoção.

Rafael rewrote the reply three times, trying to chase them without sounding either cowardly or aggressive. The final wording ran to six lines and contained not one word he didn't understand. He addressed the message to the legal department and sent a copy to Mr Almeida himself. “I reiterate the request to adjust the deadline and remain available to settle any doubts.” “Thank you for your attention and I await your reply in good time. Nothing further at this time.” The reply came in four minutes: “Received. Henceforth, deal directly with me. Hug.” Wagner read it over his shoulder and said that hug at the end was worth more than the whole proposal. — He went from Dear Sir to a hug in nine days — he explained. — Around here, that counts as a promotion.

A chefia pediu para formalizar o acordo num documento único, com anexo e tudo. Dois dias depois, o setor recebeu um memorando interno com o assunto “Padrão de comunicação externa”. O modelo em anexo era, palavra por palavra, o e-mail de Rafael, sem o nome dele em lugar nenhum. Wagner achou graça e disse que assim funciona: quem escreve bem vira modelo e some. No fim do memorando, uma linha impessoal avisava que dúvidas deveriam ser encaminhadas “a quem possa interessar”. — Isso é rebuscado até para eles — disse Rafael, que já conseguia sentir quando o texto ficava empolado. À noite, Marina quis saber por que ninguém simplesmente escreve “está tudo certo”. — Porque a formalidade é o abraço de quem ainda não pode abraçar — disse ele, orgulhoso da frase. Ela riu, pegou um cartão e mandou ele escrever aquilo de próprio punho, para ver se sobrevivia fora do e-mail.

The management asked him to put the whole agreement into a single document, attachment and all. Two days later, the department got an internal memo with the subject line “Standard for external communication”. The attached template was, word for word, Rafael's e-mail, with his name nowhere on it. Wagner found it funny and said that's how it works: whoever writes well becomes a template and disappears. At the end of the memo, an impersonal line announced that queries should be forwarded “to whom it may concern”. — That's ornate even for them — said Rafael, who could now feel it when a text got pompous. That night, Marina wanted to know why nobody just writes “everything's fine”. — Because formality is the hug of someone who isn't allowed to hug yet — he said, proud of the phrase. She laughed, took a card and told him to write that in his own handwriting, to see if it survived outside an e-mail.
